Combining / Merging Securities

On the Sidebar Menu, click on Investments.  Then click on Securities / Indexes.  Click on Securities | Maintain.  Choose the security you want to combine

Overview

You must have the security rights to delete investments in order to perform this task.  This task deletes the security being combined.

It sometimes becomes necessary to combine two Securities (Symbols) and move all of the investments in all of the client accounts to a new symbol.  This screen allows you to do this.

You would typically use this screen when both Security records have investments attached to them and you want to combine them under one security.

It also allows you to just delete the Security record and any investments using that symbol or security. This is a powerful utility and should only be used when a backup is available because it cannot be reversed without manual entry.

How To Use This Screen

Use this feature when you have investments attached to two different security (symbol) records when they are really the same investment.

Another use may be when a variable annuity's CUSIP changed but you downloaded it like it is a new CUSIP.  In this case,

Combine To:

Choose a security (symbol) that you want to move the investments into.  You will be changing the symbol / security designation on these clients' individual investments to the security you choose here.

Click on the field to choose the new Security Record.  If the record does not exist, you can use the Add Button, however, you could just make the changes to the original Security Record.

Investment Holdings Result

What do you want the system to do with all of the clients' individual investments for the Security listed above.

Delete them from the investor's account.  If the old security exists in the account, it will be deleted and not more action is taken.

Move / Merge Investments From Original Security to New Security.  If the old security exists in an account and the new security also exists, they will be merged.  The number of shares is created by the transaction which is downloaded as a result of the merger. If the new security does not exist, the new security will be created in the account.

Price Result

What do you want Advisors Assistant to do with all of the prices in the Price File that pertain to the Investment listed above.

Copy Prices To New Security

Only use this choice when a CUSIP or Symbol has actually changed and the new and old security prices do not overlap.  Remember, you can get price history if you subscribe to the Sungard Price Service.

Do Not Copy Prices To New Security

When the "Combine To" security has all of it's own prices, use this option.  No new prices will be added from the Security record being combined.

Original Security And Prices

This tells Advisors Assistant what to do with the price records of the original security, Leave them or delete them.

Typical Scenario

The ABC fund family purchased the XYZ fund and changed the symbol, cusip and name to LMN.  In downloading, Advisors Assistant created a new Security record for LMN.  Now you have a current position in LMN and history in XYZ.  You want to combine XYZ fund into the LMN fund for all of your clients, moving the investments to the new Security designation.  You will want to copy the prices so you get the history.  You will want to delete the XYZ Security Record And Prices

Positions From Security Being Combined

Positions for the security being combined are not moved.  There can be many reasons for combining securities and pricing may be different, share ratios could change if securities are being merged, etc.

This affects ALL users and producers' securities in the ENTIRE database.  It should be performed by a system administrator.
