This screen is accessed only through processing an investment download.  It shows after the processing.

After an Investment Download has been processed, the Process Results Screen gives you a snapshot of what got processed.

How To Use This Screen

This screen is a quick summary of the results of the download.  If you seen any indication that there are exceptions in the processing under Process Reports, be sure to click on Reports.

Account Registrations

Account Registrations are names and addresses associated with accounts.  These are usually new accounts, but may be address changes.

Unassigned account registrations are new accounts which have not been located in the Advisors Assistant database and must be assigned using the Assign Data Button

Investment Positions

A downloaded position is a number of shares on a given date.  The download is telling Advisors Assistant that the particular investment or asset should have X shares on a given date.  When the number of shares calculated by Advisors Assistant is other than this number of shares, Advisors Assistant will automatically create a reconcile transaction to make the number of shares equal to the position.

Shares are equal when the position and Advisors Assistant's shares are within the Out of Balance Share Tolerance.

Note: When processing new accounts, it is not unusual to have a few hundred reconciles because you don't have the history and that first reconcile initializes the number of shares in the asset.

Cash Balances

These are the positions for the Brokerage Firms Cash Account.  It will often be zero.  Mutual fund downloads, such as DST do not have Cash Balances.

DST and DAZL will not typically show any Cash Balance activity.

Securities

This shows the number of new security records added.

Transactions

Transactions are buys, sells, dividends, etc.

Note: When you have Unknown Transactions be sure to print the Process Report to determine what to do with them.

Prices

Prices are the number of closing prices for the day.  This number is the number of prices processed.  It does not represent the number added to Advisors Assistant.  Only symbols or CUSIPS stored in Advisors Assistant will have prices added to the file.  If you are only tracking 300 different investments, you could see 100,000 prices, but only 300 would be added to your price file.

Policies

If policy data was included in the download files, this is the number of policies. An unassigned policy has not been matched with it's insured and/or owner.

Policy Positions

When policy data is included, the cash value is usually updated.  A policy position is the cash value of the policy.

Policy records can also be created from policy positions.  The download shown in the Process Results Screen above had several hundred Variable Universal Life policies.  Many of the 778 investment positions pertained to the investments used in these policies.

Reports Button

Click on the Reports Button to select data pertaining to this download run that you want to see reported.

Assign Data Button

If you have unassigned accounts, click on this button to begin assigning accounts.

You can also assign accounts at a later time.

What Unassigned Means

When an account, policy, or investment is "unassigned" it means that there was not enough information in the data to determine with 100% accuracy which client or account the asset belongs to.

For example, if the account number in the download does not match any account number in Advisors Assistant, then the account becomes unassigned.

Unassigned Accounts, Policies, and Investments Are Maintained

You don't have to drop everything and assign accounts.  Subsequent downloads will fully maintain the data until you assign them.  Just because they are not attached to a particular client, doesn't mean they will not be maintained.  They are updated with each subsequent download.

One person can assign accounts or account assignments can be done by each individual advisor.  The advisor may know their clients better and may be able to assign accounts more quickly.
