To add Advisors Assistant to a Security Role, you must have Administrator Rights to Advisors Assistant.

Log into Advisors Assistant as an Administrator and follow these steps:

1.Click on Admin on the Main Menu at the top of the screen.

2.Choose Maintain Security Roles from the Menu.

3.Select the Access Level (Role Name)  to modify and click the Modify Button.

4.Select the Rights you wish to modify and click the check box.

Imaging Assistant Access

First, you must give the user access to Advisors Assistant in general.  Check the box next to Imaging Assistant in the Optional Modules section of the list.

Scan Rights

If a user has Imaging Assistant Access and they have a scanner, they can scan into Imaging Assistant.

Adding Non-Scanned Files

Adding Associated files, those not scanned, is covered by the rights to Add  Modify Associated Files.  The "Modify" does not apply here because once a file is stored in Advisors Assistant it cannot be modified without restoring it as a new file.

View Document Rights

When a user has the rights to Open / View Associated Files, they can view any documents they can see on a View Files List.

Save / Email / Print

These rights are grouped together because anytime a document can be removed from the screen, it is being exported.  Printing means that it can be re-scanned, Saving the document means that it can be stolen and taken off site.  Emailing means that it can also be compromised.

Email Rights

Give a user rights to Save / Email / Print Imaging Assistant Files and they can email a document.  The document will automatically be converted to a PDF format.  The original document stays in the Advisors Assistant archive.

Save / Export Document Rights

Save / Email / Print Imaging Assistant Files Rights also pertain to saving and exporting documents.

Print Document Rights

Save / Email / Print Imaging Assistant Files Rights also pertain to printing a document.

Deleting Documents

If you give a user the right to Delete Associated Files, they can delete a file in Advisors Assistant.

Deleting a file removes the file from the list and also moves the file from the Advisors Assistant archive into a Deleted Archive folder on the Document Folder.

In order to totally delete the file from the server, a Server Administrator would need to manually remove the file.  Until they are totally deleted, they remain in the Deleted Archive folder.

Investment Account File Access

You can prevent users from viewing investment files by denying the user rights to the Investment Module as a whole.  If a user has rights to the Investment Module, they have the ability to access the View Accounts With Files Screen and all of the rights listed above that you give them will apply.

Insurance Policy File Access

You can prevent users from viewing insurance files by denying the user rights to the Insurance Module as a whole.  If a user has rights to the Insurance Module, they have the ability to access the View Policies With Files Screen and all of the rights listed above that you give them will apply.
