After installing the server component and the stations, this help topic will give you a quick overview of what you need to know with links to more information.
Assigning Rights To Perform Tasks
There are user security rights associated with performing certain tasks with Imaging Assistant. The rights are set up by your system administrator using the Admin Menu in Advisors Assistant. This prevents those users who should not be viewing documents or exporting documents from doing so.
Click HERE for more detailed information about assigning rights and the kinds of rights you can assign.
Document Server Setup
After reading about the requirements of the document server, install the Red CD on the computer you select for your document server.
We recommend a separate computer running Windows XP Professional or Vista Business or Ultimate which is NOT used by other users for daily chores. Your documents are very important and you should not chance having the computer storing them used as a workstation where other programs can affect performance or users can download viruses.
Click HERE for more about installing the Red CD.
Station Setup
You need to install the Blue CD on each station in order to view or scan. Any station with a scanner connected can scan if the user has rights to scan.
Click HERE to read about installing the Blue CD.
How To Scan To The Archive
You can scan a document by clicking on the Scan Icon on the Sidebar Menu or by pressing Alt-Shift-S.
Click HERE for a step by step instruction about scanning.
How To Copy A File To Your Imaging Assistant Archive
You can copy a file to the Imaging Assistant archive by clicking on the Add Action Button from the View Files Screens.
Click HERE for more information about copying existing files to your Imaging Assistant Vault.
Important Information About Archived Files
Once a file, such as a Word document, is archived, it cannot be changed or replaced in the archive. When you are viewing the file in Word, you are viewing a temporary copy of the file. If you change the file in Word, be sure to use Save As to put the file where you want it. Just using the Save function WILL NOT save the file back to the archive. It will only save the temporary file which will get overwritten the next time you view a Word file.
If you want to associate files in Advisors Assistant to be changed later, use the Associated Folder function. Right click in the files area and add a folder to the list. Then save the file to that folder. It's a good idea to set up the folder so that ONLY one client's files are there.
More information on this subject is available under Modifying Archived Files.
How To View An Archived File
Viewing a file is done by just double clicking on the file on any of the View Files Screens.
Click HERE for more information about Viewing Files and Documents.
How To Send A File or Page(s) As An Email
Double click on the file. Then select the Send An Email Icon from the Sidebar Menu in the Imaging Assistant Viewer. Files not created by Imaging Assistant scanning program must rely on the associated program for the features available. For example, if you are viewing a Microsoft Word document, Word would do the emailing.
How To Export A File
Double click on the file in the list on the View Files Screen. Then select the Save As Icon from the Sidebar Menu. You must have the security rights to export, print or email a file. Files not created by Imaging Assistant scanning program must rely on the associated program for the features available. For example, if you are viewing a Microsoft Word document, Word would do the exporting by using Save As. These other documents are not subject to the Security Rights in Advisors Assistant.
Converting Existing Associated Files
Users of Advisors Assistant may have files associated with clients which they wish to convert to Imaging Assistant files and store them under Imaging Assistant. This can be done, but only after Imaging Assistant is activated. You can also convert files scanned or stored using Imaging Assistant Version 1 into the new Imaging Assistant format.
Click HERE for more about Converting Associated files.
Activating The Module
You do not have to activate the Imaging Assistant module during the trial period. Without activating, you can do all the functions, but you cannot copy files that are already scanned and associated with Advisors Assistant (either through the previous version of Imaging Assistant or simply using the Add Action Button to associate a file) into the Imaging Assistant archive. The reason for this limitation is that the process changes both the Advisors Assistant database and the Imaging Assistant archive and it cannot be reversed without restoring both databases.
Imaging Assistant is activated by your system administrator by clicking on Admin | Activate Module in the Advisors Assistant program.
During the money back guarantee period, you don't need to activate the module. Once you activate the module, the money back guarantee period is expired.
