Copying Files To Archive

When Imaging Assistant is installed, adding associated files will automatically copy the file to the Imaging Assistant document server.  The file will not be removed from its current location.  It is just copied.

You can remove the file after associating it if you like.

Why Not Just Associate It As Is?

Copying the file to Imaging Assistant assures that the file is placed under secure control.  It also assures that all of the files referenced by Advisors Assistant are located on one computer, the Imaging Assistant document server.

Otherwise you would have files located all over your network.  Some may be on workstations with shared drives and others may be on a file server.  When workstations are replaced, you would need to move the files and remap all workstations to be able to view the files.  This would create expense and lost time.

How To Copy A File To Your Imaging Assistant Document Server

Copying a file to your Imaging Assistant document server is just like associating a file in Advisors Assistant.

When Advisors Assistant sees that you have the Imaging Assistant application installed on your station, it will send the file to  Imaging Assistantautomatically.

All you need to do is navigate to the appropriate View Files Screen in Advisors Assistant and click on the Add Action Button.

Three View Files Screens

There are as many as 3 general View Files Screens in Advisors Assistant, depending on which optional modules you have installed.

View Client With Files Screen

When you are on a View Client Screen, there is a Files Tab at the bottom.  If you Scan or Associate a file while on this screen, the file is associated on the Files List for the Contact or Client.

View Client With Files Perspectives: The perspectives on this screen will allow you to view all files, just contact files, only insurance files, or only investment files.

View Account With Files Screen

When you are on a View Investment Account Screen, there is a Files Tab at the bottom.  If you Scan or Associate a file while on this screen, the file is associated on the Files List for the Investment Account for that Client.  The list of files and documents on this screen will only contain those files associated with this one account.  This makes finding an investment file much easier.

View Policy With Files Screen

When you are on a View Policy Screen, there is a Files Tab at the bottom.  If you Scan or Associate a file while on this screen, the file is associated on the Files List for the Insurance Policy Number for that Client.  The list of files and documents on this screen will only contain those files associated with this one insurance policy.  This makes finding an insurance file much easier.

When scanning or copying files, use the View Account Screen when it is an investment file or the View Policy Screen when the document is an insurance file.
